E-mail Setup

The following information is provided to help you setup an e-mail client to receive your MAFnet e-mail.

The instructions for Outlook 2003 assume you have Windows XP, although Windows 2000 is very similar. Each file is about 25 kb, and therefore should not take long to download (about 5 seconds on a 56k modem).

Please choose which e-mail client you have and how you want to set it up (POP3* or IMAP**). If you don't know what version you are using, open the e-mail program (ie. Outlook) and go to Help > About. Entourage is not supported by the MAF Helpdesk, but the instructions are provided for your convenience. Some of these links are PDF documents and require Adobe Reader.

* POP3 - Removes all mail from the server and puts it onto your computer so you have the only copy of the email. Requires a minimal amount of Internet connectivity.

** IMAP - will download only the headers of your mail allowing you to choose what messages you want before downloading. This leaves a copy of the messages on the server. Can require a longer period of Internet connectivity.


Changing your Password

To change your password, do the following:

  1. Go to the web interface and login with your current user name and password: https://maf.net:9100
  2. Click the 'Settings' link
  3. Click the 'Password' link
  4. Complete the 3 boxes labeled 'Current password,' 'New password,' and 'Reenter password.'
  5. You may also want to fill in the box next to 'E-mail Password to:' because if you forget your password you can have it sent to an alternate e-mail address (do not enter your maf.net e-mail address here).

Setting up Rules

There are many advantages to setting up rules for your e-mail. One of the greatest advantages is in dealing with SPAM. Setting up rules can be easy or very complex. The easiest way to set up rules is by using an e-mail client like Outlook or Outlook Express. You can use the web interface as well, although it is more difficult.

To set up a basic rule using Outlook (2003):
  1. Right-click on a message which you would like to create a rule for and click 'Create Rule.' Here you will see 3 options under 'When I get e-mail with all of the selected conditions:' and 3 options under 'Do the following.'
  2. Click on the appropriate boxes for the rule and click OK. If you are not satisfied with the options available, click the 'Advanced Options...' button.
  3. Note: From Outlook, if you click on Tools > Rules and Alerts > New Rule (button) > Start from a blank rule > Next (button), you will see this same window.
  4. From here, read through the options and find the options that fit your needs. There are 3 sections in this Advanced rule creation area (Conditions, Actions, and Exceptions).

  5. Note: You must further define any item that has text that is blue and underlined; just click on the text and follow the prompts.
  6. The last step is to give a name to and activate the rule. Click Finish when you are done.

To set up rules using Outlook Express (6):

Please note that if you have your e-mail setup in an IMAP configuration, rules will not work. You must use Outlook or the Web Interface if you wish to have rules.

  1. Click Tools > Message Rules > Mail.
  2. There are 4 sections here to complete (Conditions, Actions, a description, and a name).
  3. Look through the first 2 sections (Conditions and Actions) and decide how you want your rule to work. You can choose more than 1 box in each section.

  4. Note: You must further define any item that has text that is blue and underlined; just click on the text and follow the prompts.
  5. In the third section (Description), just describe the rule for future reference (for example: Deleting any message with an attachment that is 1000kb (1mb) or more)
  6. And in the last section, give your rule a name (such as: Delete Big Messages).
  7. Click OK
  8. Click OK again

To set up rules using the web interface:

This technique requires you to be more of an advanced user. If you can't figure it out or need help, there is a question mark icon () that can provide good information; just click it.   1. Login
  2. Click the 'Rules' link
  3. Next to the 'Add Rule' button, type a name for the rule, then click the 'Add Rule' button.
  4. Click the 'Edit' link to edit the rule.
  5. Under the Data drop down, click an appropriate option.
  6. There are 'Operation,' 'Parameter,' and 'Action' sections that need to be completed as well. The final 'Parameter' section is optional.
